Retreat Cancellation Policy

By booking any retreat from Terra Firma Arts LLC, you agree to the following. While we understand that unexpected, serious circumstances can arise, our policy applies to everyone to remain fair and ensure the retreat's sustainability for all attendees. Cancelation windows reflect likel
Non-refundable deposits
Initial deposits are non-refundable to cover venue, staff, and planning costs.
90-180+ days out
A full refund minus the deposit.
60-90 days out
Partial refund of 50%, or credit to a future retreat.
Less than 60 days
No refund.
If you cancel, you are still liable for the remaining balance.
This is in case we are unable to fill the spot at short notice.
This applies even if retreat was booked in this window.
Replacement policy
Attendee may transfer their spot to a new attendee, with consent from Terra Firma Arts LLC.
Force Majeure/Personal Emergencies:
In rare cases of attendee’s severe illness or personal emergencies, there is a possibility of transferring funds to a credit to a future retreat.
Medical Documentation: A letter from a licensed healthcare provider stating that the attendee is unfit to travel or participate, confirming the diagnosis, and specifying the dates.
Personal Emergency Proof: In cases of death or serious family emergency, an obituary, memorial service pamphlet, or a written statement verifying the situation.
Timeline: Documentation should be submitted within 14 days of the cancellation.
Organizer Cancellation
If the organizer cancels due to low enrollment, a full refund or credit toward a future retreat is offered.
Travel Advisory
We will be adhering to any local government recommendations at the time of your event/retreat.
We will also adhere to any advisory made from the US Embassy in the location of the retreat.
If there is a level 3 or 4 travel advisory restricting travel to the location of the retreat, a full refund will be issued.
Check Advisories: Always review current travel advisories from your government.
Check the U.S. Department of State (.gov) for official alerts.
Please note the specific city/region you’ll be in, rather than the general area.
Review your travel insurance policy to see if it covers government-issued travel advisories for your destination.
Personal Travel Insurance
It is highly recommended to buy comprehensive travel insurance to cover potential losses due to unforeseen cancellations. Similarly, flight insurance is recommended on any flights purchased (attendee’s responsibility).

• Avoid Drugs: Do not get involved with drugs, as this increases risk.
• Use Common Sense and typical travel smarts.
• Stay within well-trafficked areas.
• Do not post public, real time geotagged pictures and videos of your location.
• Have an external phone charger with you.
